Event Hosting Program Application

The application deadline is Friday, December 11, 2026 at 4:30 p.m.

The application process is competitive.  

Applications will be evaluated based on the following criteria:

  • 45% based on Cultural or Sport Impact: vision, experience, audience, and community
  • 30% based on Community Impact and Effectiveness: organizational effectiveness, marketing and promotion, and budget
  • 25% based on Event History (for recurring events) or Event Plans (for new events)

If your eligible application is declined by the Event Hosting Committee, you may not appeal the decision, but you may apply the following year.  Successful returning events are not guaranteed funds in future years.

Organization Information
Event Information - 25%

Event history and experience for new and returning events will be evaluated based on the following criteria:

  • Previous and expected attendance
  • Ability to meet deadlines
  • Compliance with guidelines and policies




Community Impact and Effectiveness - 30%

Community impact and effectiveness will be evaluated based on the following criteria:

  • Organizational effectiveness (10%)
  • Marketing, promotion, and partnership (5%)
  • Safety and security (5%)
  • Budget (10%)

Priority will be given to events that are deemed to add community benefit. The City encourages festivals and events to foster strong partnerships between community, government, and private sector.













Strong organizational skills and an effective team are required to run an event.
Where do you plan to advertise or promote your event, both in and outside of North Bay? What kind of promotion will you use (e.g. print, social media, radio, etc.)?
The event budget should demonstrate the financial health of the event. Scoring for the budget is based on diverse revenue sources, detailed revenues and expenses, and clear details for each budget line, where required.
Cultural or Sport Impact - 45%

Cultural or sport impact will be evaluated based on the following criteria:

  • Vision and experiences (25%)
  • Community (20%)

Priority will be given to events that are deemed to have an impact on culture or sport. The City recognizes that events can be an important expression of culture or sport in North Bay, and they are integral to building a strong sense of community. Impactful events offer a rich cultural or sport experience with breadth and depth as well as programming that will attract a diverse audience. 

This is an opportunity to articulate the overall idea for the event in as much detail as required. Describe how the planned activities create a significant cultural or sport experience.
Consent & Validation

I understand that if this application is approved, as the event organizer, I must agree to the following terms:

  • All funds are subject to the approval of the 2027 municipal budget
  • The City of North Bay will be listed as a supporter in all advertising and promotional materials, relative to the funding amount provided
  • The organization must provide an invoice for the funds in order to receive payment, and HST cannot be included.
  • Successful applicants must be up-to-date on any monies owed to the City prior to any funds being issued.
  • A final report and event budget must be submitted within 60 days of the completion of the event. 
    • The final report must include the following: description of success of community outreach, number of attendees, media coverage, and a list of all other event sponsors and recognition received
  • It is the event organizer's responsibility to meet all requirements of the City of North Bay and other regulatory agencies.
