Administrative Assistant-Deputy Registrar (Temporary Indefinite)

Under the direction of the City Clerk, the Administrative Assistant performs clerical duties. Carries out duties of Deputy Division Registrar for marriage licensing and burial permits; assists in the preparation of Council/Committee Agendas; maintains filing systems; prepares various documents including by-laws and Committee Reports; responds to telephone and over the counter enquiries; books meeting rooms; assists with Municipal Election preparations, processes, codes and circulates mail daily; deals with sensitive confidential information on a constant basis; helps maintain correspondence and insurance logs, provides relief for lottery licensing, collects fees and issues receipts for same. 

Qualifications:  

  • Two Year College Program – Office Administration
  • Three (3) years previous related experience
  • Demonstrated respect of confidentiality
  • Good keyboarding skills (minimum 50 w.p.m.) and general office skills
  • Ability to deal with Council, staff and the general public with tact and diplomacy
  • Excellent organizational skills
  • Proficiency in the use of computers, Electronic Agendas and Minutes, GIS, Naviline and Microsoft Office
  • Excellent communication skills
  • Demonstrated decision making skills
  • Ability to read interpret and explain City By-Laws
  • Ability to work independently and in a team environment
  • Ability to multitask and prioritize work
  • Ability to work under pressure and meet deadlines
  • Demonstrated ability to prepare Accessible Documents

Hours of Work:       Monday to Friday 8:30 a.m. – 4:30 p.m. (37.5 hours per week)

Environment:         Unionized

Rate of Pay:           $29.71 per hour
